The Deal Pipeline is your fundraising CRM: add the investors you’re talking to, move them through stages as conversations progress, and log every call, email and meeting along the way. Open Deal Pipeline in the left sidebar, or go straight to /dashboard/pipeline. What you record here shows up elsewhere: ticket sizes on investors at Hot, Term Sheet or Closed Won become the Raised figure on an active round in your cap table, and overdue follow-ups appear on your dashboard with a link back to the investor.

Adding investors

Open the add dialog

Click Add Investor (the button is labelled Add on a narrow screen). Type a name or firm to search Caplia’s directory of 700+ investors, then click Add on the right person. Directory entries always start at Cold and arrive with their focus areas, stage preference, check size, geography and application details already filled into the notes.

Or enter someone yourself

If they aren’t in the directory, click + Add Investor Manually. Name is the only required field; Firm, Email, LinkedIn URL and Notes are optional.

Choose a starting stage

For manual entries, pick an Initial Stage of Cold, Warm or Hot, then click Add to Pipeline.
Caplia checks for duplicates before saving. A directory investor you already track shows Already in Pipeline. A manual entry whose name matches someone already in your pipeline (ignoring capitalisation) stops with a notice showing their current stage, and offers Update with New Info, which appends what you typed in Notes to the existing record’s notes rather than creating a second entry. Only the notes carry across: the investor’s existing details, including their Email, stay as they are. If your plan includes the investor database, Find Investors opens the Investor Directory at /dashboard/investor-directory, where you can filter the full list and click Add to Pipeline on any result. On plans without it, the same button reads Upgrade to Discover and takes you to billing. That button is desktop only. Searching the directory from inside the Add Investor dialog works on any device and on any plan.
Shareholders on your cap table and investors in your pipeline are separate records. Adding a shareholder never creates a pipeline entry, and adding a pipeline investor never creates a shareholder. Add the person in both places if you need them in both.

Stages

Four active stages sit side by side on the board, with won and lost deals tucked into a collapsible Closed Deals section underneath. Change stage by dragging a card between columns in Kanban, by using Move to Stage in the three-dot menu on a List row, or from Move to Stage on an investor’s Actions tab. The list menu covers the four active stages only: to mark a deal won or lost, use the Actions tab, or expand Closed Deals on the board and drag the card into it. Choosing Closed Lost on the Actions tab opens Mark as Closed Lost, which asks for a Reason from a grouped list (wrong thesis, too early, check size mismatch, valuation too high and so on) plus optional notes. The reason is saved to that investor’s timeline for your own learning. Dragging a card into Lost under Closed Deals moves it without asking for a reason, so use the Actions tab whenever you want the reason recorded.

Ticket size

Moving an investor to Hot or Term Sheet from the Actions tab prompts for their Investment Ticket Size: an amount and a currency. You can Skip it and add it later. To add or change it afterwards, open an investor at Hot or Term Sheet and use Add Ticket Size or Edit Ticket Size on the Actions tab. Those two buttons appear only at those two stages, so record the ticket size before you move a deal on to Closed Won. Investors at Hot or Term Sheet without one also show an orange Add ticket size prompt, in the Ticket Size column in List view and on the card itself in Kanban; either one opens the investor on the Actions tab.
A card at Closed Won or Closed Lost with no ticket size shows the same orange prompt, but the Actions tab offers no ticket size button at those stages. To fill one in, use Move to Stage to put the investor back at Hot or Term Sheet, enter the amount when prompted, then move them forward again. The ticket size stays with them.
Ticket sizes drive three numbers:
  • Pipeline Value: combined ticket sizes at Hot and Term Sheet.
  • Terms Value: combined ticket sizes at Term Sheet only.
  • The Raised figure of an active round on your cap table, which sums Hot, Term Sheet and Closed Won.
The cap table adds those ticket sizes together as plain numbers and displays the total in the round’s currency, without converting between currencies. Keep one currency across the investors feeding an active round, or treat the Raised figure as an estimate.
The other stat cards are Total Investors, Conversations (Warm, Hot and Term Sheet combined) and Active Deals (Hot and Term Sheet). Where ticket sizes use more than one currency, the value cards list each currency separately.

Views

Tabs above the board switch between five views, and the app remembers your choice in that browser. On a phone, Kanban is replaced by List, and a row of pills lets you filter the list by stage.

Logging interactions

Start the log

Click Log on any card or row, or open an investor and click Log New Activity on the Activity tab.

Pick a type

Choose an Activity Type: Email Sent, Email Received, Application Submitted, LinkedIn Connection, LinkedIn Message, Phone Call, Meeting, Pitch Deck Sent, Follow-up or Other.

Add the detail

Set the date. Phone calls and meetings also take a start time, end time and duration. Add a Subject and Notes for context, then click Log Activity.
Turn on Set follow-up reminder in the same dialog and pick Remind me in 1 day, 2 days, 3 days, 5 days, 1 week or 2 weeks. If you started from Log on a card or row, saving the activity opens the reminder form straight away. If you started from Log New Activity inside an investor, the activity is saved on its own and no reminder form appears, so create the reminder from the Reminders tab instead. Logged activity powers the follow-up badges: Recently contacted under 3 days, Follow up soon at 3 to 7 days, Follow up overdue beyond 7 days, and No activity if you have logged nothing. Longer context belongs in Company Notes on the Overview tab, which autosaves about a second after you stop typing.

Reminders

Create a reminder with Follow up on a card or row, with Create Reminder on an investor’s Reminders tab, or by clicking a future day in the calendar.
  • Pick a Reminder Type, a Due Date (or the Tomorrow, In 3 days and In 1 week shortcuts) and, for calls and meetings, a time and duration.
  • Set Recurrence (Optional) to repeat every 3 days, weekly, bi-weekly or monthly.
  • Add Notes (Optional), then click Set Reminder.
In the Reminders view, click a reminder’s date badge to reschedule it, or click the row to open it and Complete, delete or snooze it by +1 Day, +3 Days or +1 Week. Tick several and use the bulk Complete or Delete buttons. The tab badge counts overdue items, and a second badge counts what’s due today.

Subscribing to the calendar

Click Subscribe to Calendar (desktop) to get a Calendar Feed URL for Google Calendar, Outlook or Apple Calendar; the dialog has instructions for each. Treat the URL as a secret: anyone holding it can read your pipeline events. Regenerate URL issues a new link and immediately stops the old one working, so you then need to resubscribe.

Removing an investor

Open the investor, go to Actions, click Remove from Pipeline and confirm with Remove. Delete in the three-dot menu in List view does the same thing but without a confirmation step: the investor goes as soon as you click it. Either way, removal takes their notes, activity history and reminders with them. A toast offers Undo for about seven seconds; after that the record is gone.

Troubleshooting

Those cards only count investors that have a ticket size saved. Switch to List, look for the orange Add ticket size prompt in the Ticket Size column, and fill it in for each Hot and Term Sheet investor.
Three things all have to be true: the round’s status is Active, the investors are at Hot, Term Sheet or Closed Won, and each of them has a ticket size. Investors at Cold or Warm are never counted, and neither are shareholder rows on the cap table. If someone is already at Closed Won without a ticket size, move them back to Hot or Term Sheet with Move to Stage, enter the amount when prompted, then move them to Closed Won again. For a round you’ve already finished, set it to Closed and type the final total into the round instead. See cap table.
That’s expected. There is no name matching between the two, in either direction. Add them with Add Investor here, and add them as a shareholder on the cap table page, separately.
They exist under a slightly different name, or at a stage you aren’t looking at. Switch to List, set the filter to All Stages and search their name or firm. Closed deals are hidden on the board until you expand Closed Deals.
The badge is calculated from logged interactions, not from stage changes or notes. Click Log and record the contact you’ve already had.
The Kanban board is desktop only. On mobile you get List instead; change stage from the three-dot menu on the row.
Click Undo on the toast that appears at the bottom of the screen. It restores the investor along with their activity and reminders, but only for about seven seconds. After that, re-add them manually.
Subscribed calendars refresh on their host’s schedule, and Google Calendar can take several hours. Check the feed URL was pasted in full, and note that clicking Regenerate URL invalidates any subscription created with the previous link.
The pipeline is a paid feature. The card names the plan you need and View Pricing Plans takes you to billing to upgrade.
