Fundraising is rarely a solo effort. Invite co-founders and colleagues into your company so they work on the same data as you, and use roles to control who can change money and billing.

Where to find it

Team is not in the left sidebar. On desktop, open the account menu in the top-right corner (it shows your name), then choose Team under the Account group. On mobile, tap More in the bottom bar, then Team under the Account group. The direct route is /account/team. The account menu also shows an Admin or Member badge under your name, which is the quickest way to check your own role. Everyone in the company can open the page and see who is on the team. Only a company admin sees the invite, role and remove controls.

What each role can do

There are exactly two roles. Three areas are admin-only in the founder portal:
  • Team management: inviting, changing roles and removing people.
  • Billing: a member opening the billing page sees “Only company admins can access billing settings” instead of the plan controls. See billing.
  • Cap table editing: a member can read the cap table, but the add, edit and delete controls for shareholders, share classes and funding rounds are hidden.
Two rules protect you from locking yourself out:
  • You cannot change your own role. Another admin has to do it.
  • The last remaining admin cannot be demoted. Promote someone else to admin first.
If you are the only admin of a company, you also cannot delete your Caplia account without either deleting the company or handing your admin role to someone else first. See account settings.

How many people you can invite

Your plan sets the maximum number of accepted team members, and that total includes you. Pending invitations do not count until they are accepted. Every plan lets you invite people, up to its allowance. Once every seat is taken the Invite Member button is present but disabled, and an Upgrade to Raise prompt points to the billing page where that applies. Because Core and Raise share the same allowance, nobody is removed from your team if a trial or subscription ends. Members see neither the meter nor the button on any plan, because the whole invite area is admin-only.

Inviting a team member

Open the invite dialog

On the Team page, click Invite Member. The Invite Team Member dialog opens.

Enter their email

Type the address in the Email field. The invitation goes to exactly that address, so check it for typos.

Choose a role

Under Role, pick Member or Company Admin. You can change this later.

Send it

Click Send Invitation. The invite appears in the Pending Invitations list with a Pending badge, the role you chose and the expiry date.
Caplia emails the invitation from invite@notifications.caplia.ai with the subject “You’ve been invited to join your company name on Caplia”. Invitations are valid for seven days from the moment you send them, and the exact expiry date is shown next to each pending invite. Two invites for the same person are blocked: one pending invitation per email address, and someone already on your team cannot be invited again.

Accepting an invitation

Your colleague clicks the button in the email and lands on a Team Invitation card that names who invited them, the company and the role. What happens next depends on their account:
  • No Caplia account yet: they fill in Full Name, Password and Confirm Password (at least six characters), then click Create Account & Join Team. There is no separate sign-up step and no email confirmation to wait for. They land on the dashboard already inside your company.
  • Already signed in with the invited email: they click Accept Invitation.
  • Has an account but is signed out: they click Sign In, then accept.
The invited email address has to match the account accepting. If someone signs in with a different address, Caplia refuses with an email mismatch message naming the address the invitation was sent to. When an invitation is accepted, a “Team invite accepted” item appears in your notification bell in the top bar.
A person can belong to more than one company on Caplia. Accepting an invitation makes that company the active one; after that, use the company selector in the top bar to move between them.

Changing someone’s role

On the Team page, find the person in the Team Members list and use the role dropdown next to their name to switch between Member and Admin. The change applies immediately, and there is no confirmation step. Your own row shows a badge instead of a dropdown.

Removing a team member

Only a company admin can remove someone, and you cannot remove yourself. If you want to leave a company, ask another admin to remove you.

Find the member

Locate the person in the Team Members list.

Confirm

Click the delete icon next to their name, then click Remove in the confirmation dialog.

Undo if needed

A toast appears for about seven seconds with an Undo action. After that the removal is final, though you can always invite them again.
Removal takes away access to everything in that company, including the data room, immediately.

Cancelling a pending invitation

In Pending Invitations, click the delete icon next to the invitation. It is removed straight away and the link stops working. Cancel and resend whenever you need to correct a typo, change the role you offered, or replace an expired invite.

Team on your Passport is a different thing

The Add Team Member button on your Caplia Passport adds a founder profile that investors read. It does not create a login and it does not give that person access to your portal. Likewise, inviting someone here does not add them to your Passport team section, and psychometric test invites are sent to Passport founder profiles, not to portal team members. If you want a co-founder in both places, do both.

Troubleshooting

You have used every seat on your plan. Your own account counts as one. Core, Trial and Caplia Raise allow 5 people in total and Caplia Enterprise is effectively unlimited. Remove someone or move to Caplia Enterprise to add more.
Ask them to search their inbox and spam folder for invite@notifications.caplia.ai. If it is genuinely missing, cancel the invitation in Pending Invitations and send a fresh one, which generates a new email. If you saw a message saying the invitation was created but the email failed to send, the pending invite exists without an email having gone out: cancel it and try again, and contact support if it happens twice.
They are signed in to Caplia with a different email from the one you invited. They should sign out, sign in with the invited address, and open the link again. If they want to use a different address, cancel the invitation and send a new one to the address they actually use.
Cap table editing is admin-only, so members see the figures without the add and edit controls. If they need to maintain it, change their role to Admin on the Team page. Nothing about their data is lost when the role changes.
Billing is admin-only. Members see a notice pointing them at their company admin. Either handle the plan change yourself or promote them.
Both are blocked by design. Promote another person to Admin first if you want to step down, and ask that admin to remove you if you are leaving the company.
Removal cuts off access to the portal from that moment. It cannot recall material they already downloaded from your data room. If a departure is sensitive, review your share links and access grants too, in sharing and access.
